Front Office Associate
The Front Office Associate serves as a welcoming and professional first point of contact for visitors, callers, staff, and volunteers. This position supports the day-to-day operations of the front office while maintaining an organized, efficient, and hospitable environment. This is a part-time position with approximately 15-20 hours/week.
Key Responsibilities
- Welcome visitors and provide courteous, professional assistance.
- Answer, screen, and appropriately direct incoming telephone calls.
- Monitor the building access system and appropriately assist individuals requesting entry.
- Communicate meeting announcements and provide participants with accurate scheduling information.
- Respond to general inquiries and direct individuals to the appropriate staff member or resource.
- Receive, organize, and distribute incoming deliveries.
- Monitor office supply levels and coordinate replenishment as needed.
- Maintain the daily coffee station, ensuring coffee and related supplies are prepared, stocked, and ready for staff and volunteers.
- Maintain a clean, organized, and welcoming front-office environment.
- Communicate professionally and effectively with staff, volunteers, visitors, and community members.
- Follow organizational policies, procedures, confidentiality standards, and safety practices.
- Provide additional administrative and front-office support as needed.
